Property management, maintenance and occupier-service colleagues discuss a repair handover in a building corridor without residents.

OQM-supported organizational consulting

Real estate

A lease is signed, but the operating team still needs to agree access arrangements, outstanding work and points of contact. Property businesses depend on commitments that survive the move from deal to day-to-day service. OQM supports leadership and collaboration across leasing, management and technical teams.

Discuss collaboration

For property managers, portfolio owners, housing organizations, agency teams and commercial operators with their own staff. Residential and commercial operations require different arrangements. The figures below describe UK commercial property only, not a universal real-estate market.

What the sector can build on

Knowledge close to the building

Management and maintenance teams know which requests recur. Leasing understands what incoming occupiers expect. Bringing those perspectives together helps the organization recognize what the building must deliver in practice and which commitments need an internal agreement before they reach a customer.

Relationships that outlast a transaction

Buildings need service over many years. Reliable contacts and careful handovers preserve experience through staff changes. Established teams can also identify when familiar routines no longer serve a new use, customer expectation or allocation of responsibility.

Where strengths come under pressure

The deal and the service run on different clocks

Leasing works toward completion; property operations inherit continuing obligations. An unresolved promise can become another team's recurring problem if scope, authorization and work were never discussed together.

Multiple mandates, one customer experience

Owners, managers and contracted providers have different responsibilities. Occupiers experience a single building and service. A chain of referrals without an update can leave them uncertain even when each party has formally completed its own task.

United Kingdom · Q2 2026 · Survey / reported data

RICS UK Commercial Property Monitor, Q2 2026: the all-sector occupier demand net balance was −5%. This is the difference between positive and negative survey responses, not a five-percent change in rents or occupied space.

Collaboration in everyday work

  1. Confirm commitments before operational handover

An incoming occupier requests extra access or an alteration. Technical feasibility, approval and timing must reach the authorized specialists before a promise is confirmed. The organizational question is how that conversation happens, not how a lease should be legally interpreted.

A question for your teamWhich leasing commitment requires confirmed agreement from the operating team?

  2. Keep responsibility through a service request

A repair has been referred to a contractor, but management cannot tell the occupier what happens next. One role needs ownership of communication across the process while qualified providers remain responsible for their work. Safety concerns follow the appropriate specialist escalation routes.

A question for your teamWho keeps the occupier informed when a request passes between management and a contractor?

  3. Retain usable knowledge through change

Maintenance history, open requests and trusted contacts may be distributed across systems and individual memory. Staff changes reveal whether information can be found and whether cover knows its decision limits. A new platform alone cannot settle those responsibilities.

A question for your teamWhat can a colleague covering the property reliably take over without the previous manager?

From leasing into operation

An illustrative commercial building welcomes a new occupier. Follow a commitment through three points where responsibility needs to travel with it.

Commitment

Observation
Leasing offers additional access while technical approval is still pending.
Possible explanation
The customer's expectation precedes a decision from the authorized function.
A next step
Agree the approval owner and confirmation route before making this commitment.

Handover

Observation
Keys and documents change hands, but an unresolved item has no named owner.
Possible explanation
The transfer moves information without assigning responsibility for the remaining work.
A next step
Record the owner, cover and next update for one outstanding item.

Operation

Observation
The occupier asks repeatedly while management and maintenance refer to each other.
Possible explanation
Internal division of work has not become a continuous service experience.
A next step
Name a communication contact and review the handover experience together.

OQM

Organize service around the property

OQM examines leadership, structures, shared values and trust behind operational service. External figures provide context; your organizational profile and discussion of lived experience determine the priorities.

The OQM methodResearch and origins
  1. Choose a shared operating area

Leasing, management and technical colleagues identify work they can influence together. External mandates and approval powers are clarified. An internal profile cannot assess the experience of providers who did not participate.

  2. Understand the profile through handovers

Participants discuss strengths and the minimum factor using typical, anonymized situations. They consider how expectations fit decision authority, without turning anonymous responses into a ranking of individual staff.

  3. Check a practical agreement

An improvement might be a confirmed handover or a dependable update route. Agree its owner and review. Request times and customer feedback need separate operational assessment; improvement is not a guaranteed market outcome.

Hypothetical practical example

One request, repeated follow-ups

An illustrative management team looks after several buildings. Repair requests are recorded and referred, yet occupiers repeatedly ask for updates. Specialist repair work is outside this organizational example.

Working hypothesis

Missing ownership of updates may create more uncertainty than the number of requests itself.

  • At which transfer does responsibility for the next message become unclear?
  • What update can be given reliably without promising an unconfirmed completion date?

Test in the organization

Choose a recurring request type, agree the communication owner and cover, then review whether occupiers received dependable updates at the next team discussion.

A property is leased at one address and cared for across many handovers.

Questions from the sector

What business consulting does OQM offer real estate?

OQM supports organizational development, leadership and collaboration. Possible areas include leasing-to-operation handovers and ownership of occupier communication. Property valuation, investment advice, tenancy law and technical surveying are not promised by this offer.

Is this only for commercial property?

No. Housing organizations and residential managers can examine their collaboration too. The RICS figures, however, concern UK commercial property and are not generalized to housing or other countries.

Can contracted providers be involved?

Their working interfaces can be discussed. Participation needs agreement on mandate, consent and responsibility. Internal survey responses are not automatically shared with external partners.

Can OQM improve occupancy or returns?

No such result can be guaranteed. Location, demand, financing and building quality have their own influence. Organizational measures are reviewed in the business, not sold as an assured property return.

What should an initial enquiry include?

Team size, property type and a broad collaboration question are sufficient. Do not submit leases, personal tenant information, access codes, building-security details or confidential financing information through the public form.
